Information for owners
We provide a full management service for owners of properties for short term lettings.
We only earn our fee when your property is generating an income for you. It is in our mutual interest that the property is presented at its best, and rental and occupation rates are optimised.
The current market conditions are extremely challenging. We will only consider properties which are in suitable locations, are in very good condition, and which meet our standards for sort term and holiday lettings. Our reputation is also at stake.
The management of holidays lets / serviced apartments is extremely time consuming for an owner. Profitability is dependent on price optimisation, efficient systems, good reviews and repeat business. You will find that fees paid to us are cost effective.
Prior to instruction we will:
Provide guidance on the condition and suitability of your property, and recommend any necessary repairs, refurbishment or alterations.
Provide guidance and recommendations in respect of furnishings and the provision of amenities etc.
Provide an indication of expected rental and occupation rates.
On instruction we will:
List your property on our direct booking website, and on: Booking.com, AirBnB, Vrbo, Expedia, Kayak, Rent by Owner, Google Vacations; and other booking platforms by agreement.
Feature your property on our Social Media: Instagram & Facebook.
Use Artificial Intelligence price optimisation software to market and continually monitor the local rental conditions to automatically adjust the rental rate of your property dependant on supply, demand, prices and occupation rates of nearby properties, speed of bookings, local events, weather, etc.
During the bookings we will:
Take reservations automatically, synchronising calendars across the various booking platforms.
Take payments by, Visa, Mastercard, PayPal, Venmo, Apple Pay, Samsung Pay, Square, Google Pay, Wise Transfer, IBAN, SWIFT and Ukraine card-to-card. Funds will be held in our dedicated client account.
Provide a 24 hour AI concierge service for guests. To answer all questions guests may have about the property, and provide information on local amenities, services and attractions.
Provide a human response for any matters which cannot be satisfactorily addressed by the AI service.
Arrange the laundry and cleaning of your property on change over days – at cost price
Arrange periodic cleaning and linen service during the booking period as necessary. Typically on a three or four day rotation – at cost price.
Arrange linen and laundry as necessary – at cost price. If required our cleaning company is able to provide a “clean rental service” for bed linen and towels.
Arrange for any immediately necessary repairs and maintenance during the booking period – at cost price
Arrange frequent inspections of the property. Report to you periodically.
Management Reporting
We will share our booking diary with you online. At any time you can log in to see the details of your property. The availability, the advertised prices, the confirmed bookings etc.
We will share our income and expenditure ledgers with you online. At any time you can log in to see the details of your property. The rental receipts, income generated, expenses on advertising, cleaning, repairs and our fees etc.
Thus, at any time there is complete transparency and you can monitor and audit your business as desired.
We will report to you on a monthly basis and remit funds to your bank account monthly.
Requirements:
Furnishings:
The property must be fully furnished and fully equipped. A minimum of three sets of bed linen and towels. Basic kitchen equipment, glassware, crockery and cutlery etc. Television with Internet connection (firestick etc). Charging points. Bluetooth speakers. Suitable decoration, soft furnishings and artwork.
If anything is lacking, we can advise and assist.
Internet:
The property must have a reliable and fast internet connection.
Firstly, guests will expect good internet.
Secondly, we will require a good connection to operate our automation and security systems.
Automatic lock system.
In order to enable self-check-in we require a keypad entry system with compatible smart-locks. These can usually be added to the existing locks (rather than replace them). We will inspect your existing locks and recommend suitable products. Generally, our preference is the Yale Assure, as these integrate best with our automated systems.
If you are unwilling to purchase the system, at additional cost we can provide the hardware for the duration of our management.
Webcam entry doorbell.
Again we recommend Yale, as there is no monthly subscription fee, and it integrates well with our system.
Fire alarm
A fire alarm is expected by international travellers. An internet connected fixture allows us to monitor and re-set the system remotely.

Photos:
We can take photos and a short video. However, we strongly recommend professional photos. This is the single most important and cost effective factor in improving rental and occupancy rates. We can obtain a quote.
“Minut”
Minut is a smart system. It monitors: smoking, noise levels, occupancy and humidity in a property. The system detects and provides real time alerts, and generates reports. There is a subscription charge for the service, which seems expensive. However, if it is needed, then it will seem extremely cost effective. We strongly recommend the installation of the system. Smart Home Automation for heating & air conditioning etc
Smart home automation can usually be retro-fitted to existing installations. This can be cost effective as it allows us to turn heating and air conditioning on and off remotely. Thus reducing operating costs when the property is empty. It also allows us to limit the settings used by guests.
External Security Camera
External cameras provide obvious security by allowing us to monitor and record the guests entering and leaving the property. Again, the Yale products do not require a monthly subscription.
Additional advertising:
Additional advertising may not be necessary, the Online Booking Platforms are likely to be sufficient. However, many bookings are repeat business and in order to boost bookings for a property which is new to the market, it may be worth considering additional advertising. Particularly on social media. This is something we can discuss.
At additional cost
Refurbishment management
We can obtain quotes for any necessary repairs and refurbishment of your property. We will inspect and manage the ongoing works.
Furnishings
We can source fittings, fixtures, furnishings and equipment. Arrange fitting and installation as necessary.
Utilities
If desired, we can monitor and pay on your behalf all of the property utility bills and taxes. In this case we will incorporate these expenses in our monthly reports, to give a full picture of your business.
Annual reporting and accounting
Our retained accountant can provide full annual business and tax accounts for your property.
